Department Assistant, Drawings and Prints

The Museum of Modern Art is currently accepting applications for a Department Assistant in the Department of Drawings and Prints. Reporting to the Department Manager, the Department Assistant performs a variety of administrative duties specific to a curatorial department. Serves as general administrative assistant to the department and to department-related projects.

Additional responsibilities:
-Collaborates with department on a variety of tasks.
-Serves as general administrative assistant to the department and to department-related projects.
-Performs departmental tasks, including answering phones, sorting mail, responding to inquiries, ordering supplies, etc.
-Composes correspondence for senior department staff (thank-you notes, replies to artists’ submissions, etc.).
-Processes invoices and travel and expense reports.
-Maintains departmental files.
-Maintains general orderliness and tidiness of department library, common spaces, study center, and supply closet.
-Maintains inventory of paper for faxes and printers.
-Gathers data from various sources for use by supervisor or relevant staff, including collection database, library catalog, Internet research, etc.
-Assembles and coordinates material for departmental or acquisitions presentations.
-Provides support for all patron-group meetings.
-Performs any other duties reasonably related to the functions described above.

Requirements:
Bachelor’s degree at least four administrative experience relevant to the position or equivalent. Background in art history and demonstrated interest in the museum profession preferred.
Excellent communication and organization skills.
Ability to take direction and work as part of a team.
Pleasant phone manner.
Must exercise good judgement and discretion.
Proficiency in Microsoft Word, Excel, PowerPoint, Publisher, Outlook, Adobe Photoshop, Internet research, and other standard office procedures and equipment.
Must exercise good judgment and discretion.
Proficiency with languages in addition to English (French, German, Portuguese, or Spanish) are a plus.
Fully vaccinated with a Centers for Disease Control and Prevention and/or the World Health Organization authorized vaccine (or approved for an exemption as a reasonable accommodation due to a qualified disability or sincerely held religious belief or other legal basis).
