Department Assistant, Drawings and Prints – MoMA
Performs a variety of administrative duties specific to a curatorial department. Collaborates with entire department on a variety of tasks. Serves as general administrative assistant to the department and to department-related projects. Performs departmental tasks, including answering phones, sorting mail, responding to inquiries, ordering supplies, etc. Composes correspondence for senior department staff (thank-you notes, replies to artist’s submissions, etc.). Processes invoices. Processes travel and expense reports. Maintains department files. Maintains general orderliness and tidiness of department library, common spaces, study center, and supply closet. Maintains inventory of paper for faxes and printers. Gathers data from various sources for use by supervisor or relevant staff, including collection database, library catalog, Internet research, etc. Assembles and coordinates material for departmental or acquisitions presentations. Provides support for all patron-group meetings. Reports to Department Manager.
Requirements
Bachelor’s degree and at least four years administrative experience relevant to the position or equivalent. Background in art history and demonstrated interest in the museum profession preferred. Excellent communication and organizational skills. Ability to take direction and work as part of a team. Pleasant phone manner. Must exercise good judgment and discretion. Proficiency in Microsoft Word, Excel, PowerPoint, Publisher, Outlook, Adobe Photoshop, Internet research, and other standard office procedures and equipment. Foreign language skills (French, German, Portuguese, Spanish) a plus.
